- Why are you collecting information about me?

- to facilitate the organization and coordination of the Project;
- when entering into a volunteering contract with us, to ensure proper execution thereof;
- to enable us to fulfill legal obligations to which we are bound;
- for Project publicity purposes, we may seek your consent to use photos or videos of you on our website or social media platforms (such as Facebook, Instagram, YouTube, etc.) to promote the Project.
- What information should I provide?
The information you provide will be used to facilitate the selection process for Project participants and to evaluate your candidacy. In order to take part in the Project, you must supply us with the following:
- your identification information (name, surname, date of birth, and/or personal identification number).
- your contact details (phone number, email address, physical address, etc.).
- information regarding your participation in other Projects.
- given the nature of the contract or legal requirements, we may ask you to provide additional information about you.
This data is imperative for coordinating of the Project and fulfilling the obligations outlined in the legislation, as well as for meeting the statutory requirements that obligate the Institution to process such information.
- What is the legal basis for collecting information about me?
We collect information about you lawfully, based on the following:
- your personal data is necessary for the performance of a contract (Article 6(1)(b) GDPR);
- we need your information to enable us to properly comply with the legal requirements to which we are subject (Article 6(1)(c) GDPR);
- you have given your consent to the publication of photographs or videos of your image on our website and/or on specific social networks for the purpose of publicising the institution (Article 6(1)(a) GDPR).

- Do you transfer information about me to anyone?
We may transfer information about you to the following:
- our service providers, such as companies providing IT, communication, data storage, financial accounting and similar services, which are subject to confidentiality and security obligations under data protection legislation;
- Project control authorities;
- Project partners with whom your volunteering agreement will be concluded;
- legal service companies, law firms, to the extent necessary to obtain legal aid or defend legitimate interests.
- Do you make automated decisions? Do you profile me?
No automated decisions are made, and you are not subject to profiling.
- Do you transfer information about me outside the European Economic Area?
Information is not transferred outside the European Economic Area (all Member States of the European Union plus Iceland, Liechtenstein and Norway).
- How long do you store information about me?
We will keep information about you for 5 years after the end of the Project.
Information related to the reimbursement of expenses incurred by you during your volunteering activity will be kept for 5 years.
- What are my rights?
If you wish to take any of the actions set out below, please contact us using the contact details set out in the last section of this Policy. Please note that these rights are subject to statutory conditions and exceptions.
You have the right to:

- Why are you collecting information about me?
Open House Europe, along with its participating cities, is organizing a Visual Stories competition, for which you are required to register and provide the following information:
- your name;
- your age;
- Email address;
- your gender (if specified);
- a visual story along with its description.
This data is essential for conducting the activities for which you have given consent by signing the Consent Form for the processing and publication of audiovisual material. We process your data for the explicit purpose of the activities you have consented to by signing the aforementioned form. Failure to provide all necessary data will result in your inability to participate in the competition.
- What is the legal basis for processing information about me?
By entering the competition and registering, you are entering into a contract with us for the use of the audiovisual material (in accordance with Article 6(1)(b) of the GDPR).
- Do you share my information with anyone?
Your information may be shared with the following entities:
- our service providers, including companies offering IT, communication (email), and data storage services. These providers are bound by confidentiality and security obligations mandated by personal data protection legislation;
- legal service providers and law firms, to the extent necessary for safeguarding our legitimate interests;
- courts and pre-trial dispute resolution bodies, as required to protect our rights;
- IT service providers;
- personal data published in visual stories will be made publicly accessible.
- Do you transfer data outside of the European Economic Area (EEA)?
We always process your data within EEA countries. However, in specific cases, your data may also be processed outside of the EEA. Uploading information to social networks such as Facebook, Instagram, YouTube, and LinkedIn will result in your data being transferred to third countries, notably the United States.

Visual stories submitted by participants will be kept for a period of 5 years after the conclusion of the Project.
